Quick answer

In the UAE, a VAT-registered business must issue a tax invoice for taxable supplies. A full tax invoice shows the words 'Tax Invoice', the supplier's name, address and TRN, a sequential number, the issue date, a description of the goods or services, the amount before VAT, the 5% VAT and the total in AED, plus the buyer's details and TRN if they are registered. The rules also allow a simplified tax invoice in defined cases, such as sales to unregistered consumers.

What must a UAE tax invoice include?

Short answer: UAE tax invoice requirements come down to one question. Can the Federal Tax Authority, and your customer, tell who sold what to whom, when, for how much, and how much VAT was charged? That is why a full tax invoice clearly shows the words 'Tax Invoice', the supplier's name, address and 15-digit Tax Registration Number (TRN), a unique sequential number, the issue date, a description of the goods or services, the amount before VAT, the VAT at 5% and the total in UAE dirhams.

The obligation starts when you register for VAT; before that you cannot issue a tax invoice or charge VAT. After it, every order in your store and every booking in your app needs a correct invoice, whatever the payment method: card, Apple Pay, Tabby, Tamara or cash on delivery.

If you have not yet worked out whether you need to register, start with VAT for online sellers in the UAE, then come back to this checklist to get your invoices right.

Full or simplified tax invoice: which one do you need?

The rules recognize two kinds of tax invoice. The full tax invoice is the default, and it is normally required when you sell to a VAT-registered business that needs the invoice to recover its input VAT. The simplified tax invoice is allowed in cases the regulation defines, most notably sales to unregistered consumers and some sales to registered buyers below a value limit set in the regulation.

Full tax invoice
  • The words 'Tax Invoice' plus supplier details and TRN
  • Buyer's name, address and TRN if registered
  • Unit price, quantity, VAT rate and amount for each line
  • Any discount, the gross total and the VAT amount in AED
  • Fits sales to businesses that reclaim input VAT
Simplified tax invoice
  • The words 'Tax Invoice' plus supplier details and TRN
  • Issue date and a description of what was sold
  • Total and VAT amount, or a statement that the total includes VAT at the stated rate
  • Usually no buyer details required
  • Fits most consumer orders in an online store

The checklist: every field of a full tax invoice

Hold your current invoice template up against this table. Each line exists for a practical reason, and missing one can make the invoice unusable for your business customers or cause trouble in an audit.

FieldWhat is requiredPractical note for your store
HeadingThe words 'Tax Invoice', clearly displayed'Receipt' or 'Order confirmation' is not enough
SupplierName, address and TRNPull them from company settings, not hard-coded text
BuyerName, address and TRN where registeredOptional checkout field for business customers
NumberA unique sequential number identifying the invoiceA database counter that never repeats or resets
DatesIssue date, and date of supply if differentMatters for pre-orders, subscriptions and bookings
LinesDescription, quantity and unit priceDelivery and packaging are separate lines too
DiscountThe amount of any discount givenApply promo codes before calculating VAT
VATRate and VAT amount per line and in total, in AEDUse one consistent rounding method
TotalGross amount payable in AEDEven if the customer paid in another currency

Where the reverse charge applies, more common in business-to-business deals and some imported services, the invoice must state that the buyer accounts for the VAT. Most consumer stores never meet this case; review it with your adviser if you sell to companies.

Refunds and cancellations: the tax credit note

The most common mistake in online stores is deleting or editing an invoice after a return. Once issued, an invoice is part of your tax records and stays there. The correct approach is a tax credit note that refers to the original invoice and reverses the amount and the matching VAT.

  1. 1
    Record the reason

Full return, partial return, post-sale discount or a pricing error. A short explanation appears on the credit note.

  2. 2
Link it to the original invoice

Show the invoice number and date, the value of the supply on that invoice and the correct value after the adjustment.

  3. 3
    Calculate the VAT difference

The note shows the difference between the two values and the VAT on that difference, in AED.

  4. 4
Refund through the same payment method

Tie the refund through your gateway or BNPL provider to the same credit note so the records match.

  5. 5
    Send it to the customer

By email or WhatsApp, just like the original invoice, and keep it on the order record.

Card and BNPL refunds have their own timing and dispute rules; see refunds and chargebacks in the Gulf.

Special cases online stores and apps run into

  • Selling in a foreign currency: you can price in dollars or riyals, but the VAT and total must also appear in AED, converted at the rate approved by the Central Bank.
  • Exports outside the UAE: may be zero-rated subject to conditions and shipping evidence. Do not treat them as zero-rated automatically before your adviser confirms.
  • Delivery fees: part of the sale and usually taxed at the same rate, so show them as a separate line with their VAT.
  • Subscriptions and bookings: watch the date of supply, which can differ from the payment date, especially with advance payments.
  • Selling through a marketplace: be clear who the actual supplier is, you or the platform, because that decides who issues the invoice.
  • Gift cards and vouchers: may be treated differently from an ordinary sale, so get specialist advice before you build them.

Record keeping is part of the obligation too. Invoices, credit notes, order records and payment records must be kept for the period the law requires and be retrievable when the FTA asks. A structured database with daily backups makes this automatic.

How do you make your store or app issue invoices automatically?

A correct invoice is the output of correct data. If your store's database saves, for every order, the pre-VAT price, the rate, the discount, the VAT and the customer details, then issuing the invoice is just a template filled in automatically after a successful payment.

Add UAE tax invoicing to my store. In settings: our legal company name, address, TRN and a 5% VAT rate. Store each product's pre-VAT price and show customers the VAT-inclusive price in AED. At checkout add an optional 'Buying for a company' field that asks for company name, address and TRN. After a successful payment, issue an invoice with a sequential number that never repeats: a full tax invoice if the customer entered a TRN, a simplified one if not. The invoice shows 'Tax Invoice', our company details, line items with quantity and unit price, discount, delivery fee, amount before VAT, VAT and total in AED, in Arabic and English. Send it as a PDF by email and WhatsApp. On a refund, issue a credit note linked to the original invoice instead of editing it. In the admin dashboard, add a quarterly sales and VAT report that exports to Excel.

Get ready for e-invoicing now

The UAE is moving to e-invoicing under Ministerial Decisions 243 and 244 of 2025, through Accredited Service Providers (ASPs) on a Peppol model. A voluntary pilot began on 1 July 2026. Businesses with revenue of AED 50 million or more appoint an ASP by 30 October 2026 and go live on 1 January 2027; smaller businesses appoint an ASP by 31 March 2027 and go live on 1 July 2027. B2C invoices are out of scope for now.

Even if most of your sales go to consumers, selling some to businesses means you will need structured invoice data that can be sent to your ASP. See the UAE e-invoicing timeline and how to choose an accredited service provider. Verify all of these dates with the Ministry of Finance and the FTA.

  1. Compare your current invoice template with the checklist in this article.
  2. Make sure your sequential counter never repeats or resets.
  3. Stop deleting or editing invoices and switch to credit notes.
  4. Add a TRN field for business customers at checkout.
  5. Show the final template to your tax agent before you adopt it.

Key takeaways

  • Every VAT-registered business issues a tax invoice for taxable sales, with amounts shown in AED.
  • There are two types: a full invoice for registered business buyers and a simplified invoice allowed in defined cases such as consumer sales.
  • Never delete an invoice; refunds and corrections after issue go through a tax credit note linked to the original.
  • Keep invoice data structured from today, because B2B e-invoicing starts in 2027.
  • Always confirm the current requirements with the Federal Tax Authority or a registered tax agent.

Frequently asked questions

What must a tax invoice include in the UAE?
A full tax invoice needs the words 'Tax Invoice', the supplier's name, address and TRN, the buyer's details and TRN if registered, a sequential number, the issue date, a description with quantities and prices, any discount, and the VAT and total in AED.
What is the difference between a simplified and a full tax invoice?
A full invoice includes the buyer's details and a VAT breakdown per line, and is normally used with registered businesses. A simplified invoice is shorter and allowed in cases the regulation defines, such as sales to unregistered consumers.
How do I correct an invoice after a customer returns an order?
Do not edit or delete it. Issue a tax credit note that refers to the original invoice and shows the correct value, the difference, the VAT on that difference and the reason.
Is e-invoicing mandatory for online stores in the UAE?
Mandatory e-invoicing starts in phases from 2027 for business-to-business transactions, and B2C invoices are out of scope for now. Confirm your position with the Ministry of Finance and the FTA.
