Turn your Excel stock sheet into an inventory and warehouse system

A stock sheet is right only on the day it was updated. Upload your item file and Fanann proposes a full inventory system: a card per item, stock-in and stock-out movements, an alert at the reorder point and reports by warehouse. The system starts from your current balances.

Why now

When does the Excel file stop being enough?

1

The sheet and the shelf disagree

Quantities are edited by hand after every sale or delivery, and one wrong cell spoils the whole count.

2

You notice a shortage too late

Nothing warns you when an item drops below its limit, so you find out when a customer asks for it.

3

You cannot tell who took what

The sheet keeps only the latest number, not the movement log: who received it, when and into which warehouse.

Sample columns

What does each column in your file become?

These are common columns in a file like this, what Fanann reads from them and how they show up in the system.

Column in your fileRead asBecomes in the system
Item nameText

The title of the item card and the first search field.

Item code (SKU)Text

The item’s unique identifier: you search by it, and sheets are linked through it.

QuantityNumber

The opening balance in the system; after that every change is recorded as a movement.

Reorder pointNumber

The basis of low-stock alerts and the “below limit” list.

Cost priceMoney

A money field, and from it the stock value in reports.

WarehouseCategory

A pick list and a filter, and a balances-by-warehouse report.

SupplierCategory

A suppliers module, with each item linked to its supplier.

If your file has several sheets (items, suppliers, movements), upload it as it is: Fanann finds the columns that link the sheets.
The proposed system

What does Fanann propose for a file like this?

A proposal you see before the build and can adjust: switch off a module, rename a field, or add what is missing in a sentence.

Screens

  • An item table searchable by name or code
  • An item card with its balance and movements
  • A stock-in and stock-out form
  • A list of items below the reorder point

Reports

  • Current stock value
  • Balances by warehouse
  • Fastest-moving items

Roles

  • A manager who sees prices and reports
  • A storekeeper who records movements
  • A read-only account
The steps

Five steps to turn your Excel stock sheet into an inventory and warehouse system

  1. 1

    Prepare the item file

One row per item and one column per piece of information: name, code, quantity, warehouse. Keep quantities as plain numbers with no units in the cell, and spell warehouse names the same way.

  2. 2

Upload it in “Excel to App”

Open “Excel to App” in Fanann and upload the .xlsx or .csv file, up to 10 MB. Files with several sheets are read sheet by sheet.

  3. 3

    Review the columns and links

Check that quantity and reorder point were read as numbers and price as money, and look at the links Fanann found between the items sheet and the suppliers sheet.

  4. 4

    Adjust the proposed system

Keep the modules you need (items, movements, suppliers, alerts) and describe how you work: who records deliveries and when you want to be alerted.

  5. 5

Build it and start from your balances

After the build your items and balances are in the system. From then on record every delivery and issue in the system and stop editing the old file.

An example description to send with the file

An inventory system for a packaging-supplies shop with two warehouses. The storekeeper records deliveries and issues from his phone; I want an alert when any item falls below its reorder point and a weekly stock-value report.

Plainly: the limits you should know

FAQ

Questions people ask

How do I turn my Excel stock file into an inventory program?
Upload the item file in “Excel to App”. Fanann reads the columns and proposes an inventory system with its screens, alerts and reports, then builds it with your items and balances inside.
Does the system support more than one warehouse or branch?
If your file has a warehouse or branch column it becomes a pick list, a filter and a by-warehouse report. If it does not, say in the description that you have several warehouses so the system is built that way.
Do quantities update automatically after a sale or delivery?
The file gives the system its opening balances. After that the balance changes with every stock-in or stock-out recorded in the system. Ask in the description for the movements you need (delivery, issue, transfer between warehouses) so they are built in.
Can I use it on a phone inside the warehouse?
Yes. The system is built responsive, so it works in a phone browser, and at the start you can choose to build it as a mobile app if your plan includes mobile apps.
How many items can I import from the Excel file?
Fanann accepts Excel and CSV files up to 10 MB. About 5,000 rows per sheet are imported at build time, and Fanann tells you what was left out. Any items beyond that can be imported later as a CSV from the Control Center.
Is turning my items file into a system free?
Excel to App is part of Fanann’s paid plans. Signing up is free, and you can try Fanann and plan mode before deciding. After the build you manage your items from the Control Center, which is included in every plan.
