Excel to system

Turn your Excel invoice log into an invoicing system

In a sheet every invoice is a line and you hunt for overdue ones by eye. Upload your invoice log and Fanann proposes a system that links each invoice to its customer, shows what is paid, due and overdue, and totals your collections month by month. Your past invoices come with it.

Why now

When does the Excel file stop being enough?

1

Overdue invoices are buried in the rows

To see who has not paid you have to sort, colour and add things up by hand every time.

2

The same customer is typed three ways

The name is retyped on every invoice with a different spelling, so you never get a correct statement for a customer.

3

Numbers change without a trace

Anyone can change the amount of an old invoice, and nothing shows that it happened.

Sample columns

What does each column in your file become?

These are common columns in a file like this, what Fanann reads from them and how they show up in the system.

Column in your fileRead asBecomes in the system
Invoice numberText

The invoice’s unique identifier: you search by it and check nothing is duplicated.

CustomerCategory

Becomes a customers module, with every invoice linked to its customer.

Invoice dateDate

A date field and the basis of monthly reports.

Due dateDate

The overdue list is worked out from it.

AmountMoney

A money field totalled on the dashboard.

TaxMoney

A separate money field shown in the invoice details and reports.

StatusCategory

Paid, due, overdue: ready filters and a count for each.

If invoice lines sit in a second sheet keyed by invoice number, Fanann proposes linking them so the lines show inside each invoice.
The proposed system

What does Fanann propose for a file like this?

A proposal you see before the build and can adjust: switch off a module, rename a field, or add what is missing in a sentence.

Screens

  • An invoice table with status and date filters
  • An invoice page with its lines and payment status
  • A statement for each customer
  • A new-invoice form and a record-payment form

Reports

  • Collected and outstanding by month
  • Overdue invoices by customer
  • Total tax per period

Roles

  • An accountant who issues and edits
  • A sales rep who sees their customers’ invoices
  • A manager who sees the reports
The steps

Five steps to turn your Excel invoice log into an invoicing system

  1. 1

    Prepare the invoice log

One invoice per row, amounts as numbers with no currency symbol in the cell, and dates in one format. Spell customer names consistently where you can.

  2. 2

Upload it in “Excel to App”

Upload the .xlsx or .csv file, up to 10 MB. If each year has its own sheet, upload the whole file and it is read sheet by sheet.

  3. 3

    Review the types and links

Check that amount and tax were read as money and dates as dates, and review the proposed link between invoices and customers.

  4. 4

    Adjust the proposed system

Set the invoice statuses you use, who may edit after issuing, and which reports you want in front of you every morning.

  5. 5

Build it and check your numbers

After the build compare the invoice total in the system with the total in the file. Then issue new invoices from the system only.

An example description to send with the file

An invoicing system for a marketing-services office. I want a statement per customer, a list of invoices more than 30 days overdue, and a monthly collected-versus-outstanding report. The accountant issues invoices and the manager only sees reports.

Plainly: the limits you should know

.xlsx · .csvExcel and CSV files. From Google Sheets: download it in either format, then upload.
10 MBThe maximum size of one file.
5,000rows per sheet, roughly, are imported at build time; bring in the rest later from the Control Center.
Paid plansExcel to App is part of the paid plans. The Control Center you manage your data with is in every plan.
FAQ

Questions people ask

How do I turn my Excel invoices into an invoicing program?
Upload the invoice log in “Excel to App”. Fanann reads the columns, proposes a system that links invoices to customers and shows payment statuses and reports, then builds it with your past invoices inside.
Do Excel formulas, such as totals and tax, carry over?
What carries over is the data, not the formulas. Describe the calculations you need (invoice total, tax, remaining balance) and they are built as logic inside the system that runs for every new invoice.
Are the invoices compliant with e-invoicing rules in my country?
E-invoicing requirements differ by country and change over time. State what you need in the description (a QR code or specific tax fields, for example), and check the official source in your country before relying on any system.
Can I send the invoice to the customer or take payment online?
Your system is a full app you can extend by chat: ask for a shareable invoice page, or connect a payment gateway from Connectors to take payment online.
How many invoices can I import from the Excel file?
Fanann accepts Excel and CSV files up to 10 MB. About 5,000 rows per sheet are imported at build time, and Fanann tells you what was left out. Any invoices beyond that can be imported later as a CSV from the Control Center.
Is turning my invoices file into a system free?
Excel to App is part of Fanann’s paid plans. Signing up is free, and you can try Fanann and plan mode before deciding. After the build you manage your invoices from the Control Center, which is included in every plan.
