Turn your Excel accounting sheet into an accounts and expenses system
An Excel accounting sheet serves you until the tabs and formulas multiply, and then every statement becomes a manual search. Upload your accounts file and Fanann proposes a system with a chart of accounts, entries linked to their accounts, a statement for every customer and supplier, monthly income and expense reports, and roles for who enters and who reviews. Your past entries come with it.
When does the Excel file stop being enough?
Formulas that break silently
A row inserted in the wrong place or a cell typed over a formula changes the total, and nobody notices until month end.
Every statement is manual work
To see a customer’s or supplier’s balance you filter, add up and copy into a new sheet, then do it all again next month.
No line between who enters and who reviews
Whoever opens the file can edit an old entry, and nothing shows that an amount changed after the month was closed.
What does each column in your file become?
These are common columns in a file like this, what Fanann reads from them and how they show up in the system.
A date field and the basis of monthly reports and period closing.
The entry’s description, used to search the log.
Becomes a chart of accounts, with every entry linked to its account.
A money field totalled in the account balances.
The matching money field; together they give each account’s balance.
Cash, transfer, card: a filter and a by-method report.
A customers-and-suppliers module, and from it a statement for each party.
What does Fanann propose for a file like this?
A proposal you see before the build and can adjust: switch off a module, rename a field, or add what is missing in a sentence.

Five steps to turn your Excel accounting sheet into an accounts and expenses system
- 1
Prepare the accounting sheet
One entry per row, amounts as numbers with no currency symbol, and dates in one format. Spell account, customer and supplier names consistently, and delete subtotal rows: the system works them out itself.
- 2
Upload it in “Excel to App”
Upload the .xlsx or .csv file, up to 10 MB. If each month or activity has its own sheet, upload the whole file and it is read sheet by sheet.
- 3
Review the types and links
Check that debit and credit were read as money and the date as a date, that accounts appear as categories with the right values, and review the proposed link between entries, customers and suppliers.
- 4
Adjust the proposed system
Describe your rules: who enters and who reviews, whether an entry is locked after the month closes, and which reports your accountant needs.
- 5
Build it and reconcile the balances
After the build compare each account’s balance in the system with its balance in the file. Once the numbers match, record new entries in the system alone.
An accounts system for a building-materials shop. The accountant enters sales, purchases and expenses, and the manager only sees reports. I want a statement for every credit customer and every supplier, a monthly expenses-by-account report, and no editing of any entry after the month is closed.
